MoodHwb privacy and accessibility

This our privacy policy and accessibility statement for those using the MoodHwb app and website as part of the ‘Digital support for young people with their mood and well-being’ study. Please refer to the study website and information sheets for more information.

Our privacy policy

Your privacy is important to us and this notice sets out the information that will be collected in your use of the MoodHwb app and website and what it will be used for. Cardiff University is the Data Controller and is committed to respecting and protecting your personal data in accordance with data protection legislation. This notice applies in addition to the privacy information contained in the participant information sheet provided to you by the researcher and does not replace it. This notice may be updated from time to time to ensure continued compliance with current legislation and to reflect best practice.

If you use MoodHwb, the email address you provided us at the start of the study will be your ‘username’ and you will create your own password to log into it.

The app and website collect usage statistics which is hosted and managed by a third-party company (Google, Inc.) as well as crash reports. Usage information is collected to help improve the programme in the future. The privacy policy for Google Analytics can be found here.

We will collect your device’s IP address (your PC’s/device’s unique address when connected to a network) to ensure network and information security. However, we will not link your device’s IP address to other data which we are collecting. Nor will we analyse the data unless we have specific reason to look at an individual IP address.

The site also uses 'cookies' to remember if anyone entering the programme has logged-on before. User preferences are saved on the device.

The site will be secure, and you will not be expected to enter personal information from which you can be identified. There is a ‘mood diary’, where you may enter sensitive information, such as how you are feeling, but it will be confidential and we will not collect that information.

Will anyone else know I’m using this?

The information that is collected about your use of MoodHwb will be strictly confidential (private) and will be used for research purposes only. This means it is between you and us (your parent/guardian will also know you are taking part in the study if you are under 16 years old).

How will my information be used?

People will use this information to do the research or to check your records to make sure that the research is being done properly. Your data will have a code number. Once we have finished the study, we will keep some of the data so we can check the results. We will write our reports in a way that no-one can work out that you took part in the study. The results from the study will help to develop the programme and help us plan more studies.

How will my information be stored?

Your information will be held by Cardiff University. If you are in Scotland, some of your information will be held by the University of Glasgow. All the details and information from the study will be held safely in approved and secure archiving facilities (in locked cabinets or secure computers), in line with the University’s Information Security Framework. We are required to store your data, including your email address and web usage for 15 years.

Who is organising and funding the research?

Organisers: Dr Rhys Bevan Jones, Professor Frances Rice and the Centre for Trials Research at Cardiff University, and Professor Sharon Simpson at the University of Glasgow.

Funders: National Institute for Health Research, and Health and Care Research Wales.

Who has reviewed and approved (checked) the study?

NHS Research Ethics Committee, National Institute for Health Research, Health and Care Research Wales, Cardiff University, and participating University Health Boards and schools/educational authorities.

Our accessibility statement

This MoodHwb app and website is run by the research team at Cardiff University. In future, we want as many people as possible to be able to use this app and website. For example, that means you should be able to:

  • use a magnifier window to increase size and visibility
  • listen to most of the app and website using a device screen reader.

We’ve also made the text within MoodHwb as simple as possible to understand and used high contrast fonts.
